Terms of Service

This document outlines the Terms of Service for Alithea Travel L.L.C. ("Alithea Travel," or "we," mailing address: 2114 Claremont Ave, Norfolk VA, 23507). By signing up for a tour, Travelers ("you") agree to these terms.

Included in Each Tour

Your tour package includes sightseeing tours by local guides, admission fees for group sightseeing attractions, meals as listed in the tour itinerary, accommodations with breakfast, group transportation from the first to the last hotel (excluding optional activities and independent travel), and gratuities for guides, local guides, drivers, and hotel staff. Prices do not include airfare or transportation to/from the arrival and departure airports.

Tour Payments & Cancellation Policy

A deposit is required to reserve your seat on the tour, confirming agreement to these terms. This deposit must be paid before any other payments are processed. Deposits are 100% refundable within 30 days of payment, unless booked within 90 days of departure. Deposits for groups of six or more, private trips, or school-related group bookings are NOT refundable; they are, however, transferable to another eligible traveler for the purchased tour.

Tour payments must be made via our payment platform (WeTravel), ACH transfer, or check. Unless a payment plan has been mutually agreed upon or established within 30 days of the initial booking, all payments and fees are due 180 days prior to tour departure.

Travelers who miss the final payment deadline will forfeit their deposit and be removed from the tour. Bookings within 60 days of departure require full, non-refundable payment within 3 days. Deposits and payments made within 60 days of departure are non-refundable unless otherwise specified in writing by Alithea Travel.

Cancellations must be submitted in writing via email to explore@alitheatravel.com.

Health Policy

Travelers must comply with all local and national regulations while on tour. Alithea Travel assumes no liability for illness or injury before, during, or after the tour. Travelers are responsible for all medical costs, accommodations, and transportation related to their health.

Travel Insurance

We strongly recommend purchasing comprehensive travel insurance, which can include both medical and travel coverage, to cover possible additional costs such as airline tickets, loss of luggage, trip delays, medical evacuation, and medical treatment.

Solo Travelers & Accommodations

Travelers can opt for single accommodations by selecting the “single accommodation traveler” option or paying a single supplement fee.

Packing Guidelines

We recommend bringing one modest-sized suitcase and a small day bag. Travelers must be prepared to carry their luggage up stairs, walk 5-6 miles per day (including uneven terrain, stairs, and prolonged standing), and load/unload luggage from transportation. Contact us if you have concerns about physical requirements.

Non-smoking Policy

Smoking is only permitted outdoors, away from the group. Smoking in hotel rooms or during group activities is strictly prohibited.

Children on Tour

Children under 18 must be accompanied by a parent or guardian. A Child Transport Waiver is required.

Tour Itineraries Are Subject to Change

While we strive to deliver all promised experiences, Alithea Travel reserves the right to make changes to itineraries as needed. Incomplete portions of the tour do not warrant a refund. Whenever possible, we will provide an equivalent substitute.

Transportation Liability

Alithea Travel acts as an agent for transportation providers and assumes no liability for injury, loss, damage, or delay related to flights, trains, buses, or other transportation. We are not responsible for service disruptions caused by illness, weather, strikes, war, force majeure, or other external factors.

Traveler Responsibilities

Travelers are responsible for ensuring compliance with passport, visa, and vaccination requirements, carrying necessary travel documentation, and understanding the risks of international travel.

Vendor & Accommodation Liability

Alithea Travel is not liable for injuries, damages, or irregularities caused by hotels, restaurants, local guides, or other third-party vendors.

Photography & Media Release

By participating in our tours, you grant Alithea Travel permission to use photographs, videos, or testimonials for promotional and marketing purposes unless you notify us in writing before departure.

Dispute Resolution

Any disputes arising from this agreement will first be attempted to be resolved through negotiation. If unresolved, they will be settled by binding arbitration in Virginia under the American Arbitration Association rules.

Force Majeure

Alithea Travel is not liable for delays, changes, or cancellations caused by natural disasters, pandemics, war, strikes, government actions, or other unforeseeable events.

Limitation of Liability

To the fullest extent permitted by law, Alithea Travel, its owners, employees, and agents shall not be liable for any direct, indirect, incidental, consequential, or punitive damages arising from participation in any tour, even if advised of the possibility of such damages.

Tours Canceled by Alithea Travel

If a tour is canceled, 100% of payments will be refunded within 14 days. Alithea Travel is not responsible for additional costs related to airfare, accommodations, or other non-refundable expenses.
